name their address their date of birth or social security number email address telephone number if they have any questions about any of the fields and the information they're supposed to provide in that field the form actually has in every field a little question mark button they can click on that and it's actually going to provide them with information regarding what should go in the field some other important things to note as far as changes on the new form the other last names used box this used to just say other names used and it was really frequently found that people would put in nicknames and that sort of thing well the USCIS now is saying that this box is only for other last names that have been used such as maintenance however if somebody doesn't have one then this field can't be left blank you need to put n/a in this field for not applicable additionally using an incorrect date format is a very common error that can cause a fine so it needs to be the two-digit date the two-digit month the four digit year in the order of month date year the form now actually has a calendar drop-down that you can use to help ensure that you're using the correct format and getting right date another common error for employees here is to use the current date instead of their date of birth so they just need to be cautious of that after the employee has completed that basic that person to enter in their information but now the USA CAS says that it's required for the employee to indicate if they didn't use one as well as it women so they'll need to check off this box here if they did not use a preparer translator and they'll check this box if they did if they did a drop-down will appear because now they must indicate how many preparers are translators assisted with this based on their selection they will get additional boxes for each preparer or translator to complete and again as with everything else in this document if there's a spot for a signature and a date immediately following that signature that cannot be completed on the computer it must be printed out and done manually once the employee has completed section one they can then click this button down here click to finish a prompt will come up notifying the employee that the forms going to check itself to ensure that everything is filled out they'll click yes and then it's going to start telling you what's wrong so for example it said that the apartment number was left blank this is another field that cannot be left blank and so if the employee does not have an apartment number they would need to enter n/a for not for the wall once they've corrected the mistakes they can go back and click on click to finish again until there are no more mistakes all right let's look at section two this is what the employer completes some of the information that the employee completes will actually populate here so their name and their citizenship or immigration status then you'll need to again verify documents just like on a normal I nine so that's no different remember that you will look at either a list a document or a list B and list C document if you have any questions about anything or what information you need to provide they have the question marks for each field again in the employer section that will give you information about what needs to go there now once I've selected a list B or a list C document it's actually going to put a not applicable in all of the list a fields because you can't also have a list a document and then once you've selected what kind of document is is there's going to be another drop-down for you to select the state or and again with the date fields you have to use the correct format but you do get the calendar option here too now for social security cards you're required to put not applicable n/a for the expiration date but the new form actually does that for you there's a new box on this eye 9 forum for additional information now previously any information that you notated in the margins of the old i-9 form has to be put in this additional information box also you'll notice that on the employee section and on the employer section there are these QR code boxes do not write in these spaces even after you've printed out the formed assignment this when you print it should automatically generate a barcode that's used for auditing purposes so once you have verified the documents that the employee has presented you'll need to enter in their first day of employment and again when you click in this field you get that calendar drop down again and then the person verifying the documents of the employee will need to sign and date the bottom of the form and then include information as to their title and the employers business address now employers cannot use a Pio box for the business address however something that's new with this new i-9 form is that the employees can use a Pio box for their personal address in section one once the employer has completed section two you also have this click to finish button which you can have the form check itself and it's going to tell you and highlight in red what's missing or what's in the wrong format so you have the opportunity to again go back and complete it before you print it out and sign it and then of course there's still section 3 4 we verification and rehires so if you have a rehired employee you can use this section or maybe if somebody's name changes you would use this section or if their document needs to be Rivera fide due to an expiration or
